1. Apply to Join
Answer a few quick questions to check you meet the criteria (single-site, under £200k, etc.). We’ll review your application within a few days.

2. Get Set Up
If accepted, we’ll guide you through a simple onboarding process — connecting Xero and Apron, setting up your reporting, and making sure everything's up to date.

3. Stay on Track
We handle the bookkeeping, VAT, and monthly tasks in the background so you can focus on running your business — not chasing spreadsheets.

4. Join the Community
Every month, you’ll be invited to a group Zoom session with other like-minded operators. Ask questions, share ideas, and learn together.

Our Criteria

We built HospoBase for the kind of businesses we wish more accountants understood — small, single-site hospitality operators juggling everything themselves.

To keep things simple and make sure you get the right support, we only work with businesses that fit a certain profile.

Questions We Get a Lot

1. Is this right for me?

If you run a UK-based hospitality business with one site and under £200k in revenue, chances are it’s a great fit. Just check our full acceptance criteria.

2. Do I need to be using Xero and Apron already?

Not necessarily. If you're happy to switch, we’ll help get you set up during onboarding — it’s all part of the process.

​3. Do you do self-assessments?

Yep. Simple self-assessments for directors and/or shareholders are included. By simple, we mean payroll and dividends- no property income, or any other sticking points. If you're running your business as a sole trader or partnership, then we can still work with you. This question/ answer is primarily aimed at those running limited companies.

4. What happens if I don’t keep up with uploading receipts and invoices?

We'll send a breakdown every month of the bank transactions that we're missing info for. If it falls too far behind, or begins to hold up work for other clients (like VAT Returns), then we may have to terminate the service.

5. What if I grow beyond £200k or open another site?

Congrats! At that point, you may be better suited to our main firm, Evans & Co Hospitality Accountants — we can help you make the move smoothly if needed. We understand that revenue can fluctuate, so we do have a buffer of £50,000, but once you hit £250,000, you might be a bit big for us to work with you.

6. Is there a contract?

Yes. As an accountancy service provider, we're required to give you a "Letter of Engagement". It sets out what to expect from us, and what we expect from you. We're also legally required to carry out AML checks as part of the Money Laundering Regulations. BUT, we don't do long-term tie ins. You only need to give us 30 days' notice if you're planning on leaving us.

7. What if I don't meet the criteria?

If your turnover is more than £200,000 pa, you require Management Accounts, you're planning a rapid expansion, more support, or you have multiple locations, then you may be better suited to our main firm- Evans & Co Hospitality Accountants where you'll receive 1-1 advice, more handholding and guidance, and a bigger removal of the admin burden. Evans & Co Hospitality Accountants is better suited to businesses turning over at least £400,000 pa and with existing growth plans.

8. What is Open Book Hospitality?

Open Book Hospitality is a course that has been specifically built as a financial literacy tool for you and your team- it covers all of the basics such as; costing a menu, labour budgets, how to read a P&L, and where the money that comes into your till actually goes.

9. What happens on the monthly calls?

The monthly group calls are a mixture of a Q&A session, debate amongst peers, and tailored advice for the hospitality sector- one month we might cover setting a budget, and the next month could be marketing. You'll be able to vote for what you want to run through next each time.
